The ICRC People and Culture Unit seeks a competent HR Administrative Assistant to join our team in Kyiv.
In close cooperation with the team members and line managers, the HR Administrative Assistant will mainly be responsible for overall assistance with tasks related to HR administration. HR Administration Assistant will be carrying out administrative tasks, preparing and updating documents for delivering HR services, in line with the ICRC’s and delegation policies and the applicable laws and regulations.

Your Tasks and Responsibilities
- Provide support for all aspects related to employee relations, offering guidance and counseling as needed
- Assist employees and managers with HR initiatives, administrative matters, promotions, organizational changes, and other HR-related concerns
- Provide overall support for HR administrative functions, ensuring smooth operation and accurate documentation
- Assist HR Officers in maintaining up-to-date employee files and ensuring the accuracy of information in the HR system across sites
- Support the preparation of HR-related documents such as employment contracts, performance appraisals, promotions, and holiday balance tracking. Follow up on medical expenses and salary calculations for both sub-delegations and Kyiv delegation
- Contribute to various HR projects, working closely with HR administrators in both sub-delegations and Kyiv
- Assist the People and Culture (PAC) team in administering programs, procedures, and guidelines to ensure alignment with the organization’s strategic goals
- Support the Payroll Specialist in drafting and preparing monthly payroll information

About you
To be successful as HR Administrative Assistant in the People and Culture Unit, you should possess the following qualifications and experiences and have the following characteristics:
- Ukrainian citizenship or permanent residence permit in Ukraine
- High school diploma or equivalent professional qualification
- 2-3 years of relevant professional experience in a similar role
- Good command of both spoken and written English and Ukrainian
- Proficient in Microsoft Office applications (Word, Excel, PowerPoint, Outlook)
- Ability to follow and implement established procedures effectively
- Excellent communication and analytical skills, with the ability to work well both independently and as part of a team
- Self-motivated with a strong commitment to teamwork and humanitarian principles
- Flexible, enthusiastic, and willing to learn
- Ability to work independently, as well as effectively under supervision
- Ability to organize and prioritize multiple tasks
- Ability to work within a diverse team and establish and maintain good working relations in a multi-ethnic, multi-cultural, and multi-disciplinary environment
