The Office Coordinator/Administrative Assistant is responsible for providing administrative support while overseeing the coordination and planning of corporate events. This role ensures the smooth operation of daily office tasks, assists with event planning, and helps maintain an organized and efficient work environment. The position involves managing various office activities, supporting team members, and contributing to the overall productivity of the organization.
Qualifications:
- 3 to 5 years of experience in a similar position;
- Soft skills in addition to technical skills (Microsoft Office etc, accuracy in working with documentation, creating presentations etc);
- English/Polish language skills are an advantage;
- Ability to work independently and as part of a team;
- Ability to complete a high volume of work within deadlines;
- Excellent organizational and time management skill;
- Excellent interpersonal, oral, and written communication skills;
- Good problem-solving skills;
- Experience writing and delivering communications to other departments;
- Ability to work with little supervision and the ability to take initiative;
- Strong attention to detail;
- Experience working in an international IT company.
Responsibilities:
- Efficiently maintain and organize files, documents, and databases;
- Assist in the preparation of reports, presentations, or other administrative documents -in case of necessity;
- Take care of correspondence, phone calls and initial negotiations with external partners and contractor;
- Maintain the office (ordering office staff, take care of coffee machine, control the cleaning etc);
- Plan, organize, and coordinate various internal and external events such as team meetings, conferences, workshops, and social activities within the workplace;
- Manage all stages of event planning, including researching and booking venues, coordinating with vendors, handling logistics, budgeting, and communicating with participants;
- Collaborate with internal teams to ensure events align with organizational needs.
