We’re looking for a proactive and highly organized professional who thrives in a structured and dynamic environment. Here’s what we expect:

• Experience in Administration or Executive Assistance: Proven track record in a similar role, ideally in a fast-paced setting.
• Organizational Skills: Ability to manage multiple tasks, prioritize effectively, and meet deadlines.
• Tech-Savvy: Proficiency in Microsoft Office Suite, Google Workspace, PDF tools, and CRM software.
• Communication Skills: Strong written and verbal English (B2+ level), with experience handling correspondence and meetings.
• Attention to Detail: Ability to track progress, manage reports, and ensure accuracy in documentation.
• Trustworthiness: Reliable, discreet, and capable of handling sensitive information.
• Flexibility: Available to work 6 PM — 2 AM Ukraine time (MST business hours).

What You’ll Be Doing

• Administrative Support: Manage the COO’s calendar, schedule appointments, and coordinate meetings.
• Communication: Handle emails, calls, and follow-ups. Attend meetings (personally or via AI note-takers) and provide summaries.
• Documentation: Prepare, edit, and organize reports, presentations, and business documents.
• Task Management: Assist in prioritizing tasks, track progress, and report delays.
• Event Coordination: Arrange business trips, company events, and team meetings.
• Information Management: Ensure confidentiality and manage sensitive business data.
• Research: Conduct research and compile relevant information for decision-making.
