1. Background 

Team4UA is a Ukrainian charitable organization established in March 2022 with extensive experience in emergency relief, recovery, and innovative reconstruction projects. Team4UA collaborates with UN agencies, international partners, and local organizations to implement high-impact humanitarian interventions, including frontline assistance, community support, and capacity-building activities. 

With operational teams located in Kyiv, Lviv, and Dnipro, Team4UA works closely with communities, authorities, and civil society organizations across Ukraine, including those operating in hard-to-reach or conflict-affected areas. 

As Team4UA expands its work with local partners under new program initiatives, the role of the Localization and Training Associate is crucial to ensure quality support, strengthening of partner capacity, and effective coordination of training and organizational activities. 

2. Purpose of the Assignment

The Localization and Training Associate will support several local partner organizations from the early stages of engagement, helping them navigate operational, administrative, and reporting requirements. The Associate will provide hands-on support, coordinate training activities, assist in organizing events, and participate in monitoring visits when needed. This role ensures that partners receive timely guidance, capacity-building support, and practical assistance, while also supporting Team4UA’s internal training processes and organizational tasks.

3. Key Responsibilities

A. Partner Support & Localization: 

  • Serve as the first-line support person for assigned local partner organizations.

  • Provide guidance on administrative, financial, operational, and reporting requirements. 

  • Assist partners in understanding organizational policies, templates, and compliance expectations.

  • Conduct regular check-in meetings with partners to identify challenges, support needs, and capacity gaps.

  • Participate in monitoring visits to partner locations, ensuring activities meet organizational standards and agreed-upon workplans.

  • Support the collection and verification of partner data, documentation, and reports (Narrative + Financial). 

B. Training & Event Coordination: 

  • Support the planning, preparation, and delivery of training sessions for partners and external stakeholders.

  • Organize logistics for training and meetings (venue arrangements, equipment setup, materials preparation, attendance sheets, etc.).

  • Meet trainers and guests at the office, provide event-day support, open and close the office when necessary.

  • Provide administrative assistance during training, such as registration, distributing materials, assisting participants, etc.

  • Assist with preparation of call invitations, coordination of attendance lists, and collection of required information from partners and stakeholders.

  • Support reporting processes by collecting data, drafting simple summaries, and maintaining documentation. 

  • Help maintain internal organizational tools such as contact lists, calendars, training trackers, and partner documentation folders.

  • Support the supervisor with other administrative and organizational tasks as assigned. 

4. Qualifications and Experience

Education:

  • University degree in Social Sciences, Psychology, Social Work, International Relations, or related field.

Experience:

  • Minimum 1 year of experience working with NGOs, community groups, or local authorities (experience with partner support is an advantage).

  • Understanding of humanitarian principles and the role of local actors in crisis response.

  • Experience coordinating events, training, or logistics in a professional environment would be preferable.


Technical Skills & Competencies:

  • Strong coordination, organizational and documentation skills, attention to detail, and ability to handle multiple tasks.

  • Ability to establish positive working relationships with partners and stakeholders.

  • Problem-solving attitude and willingness to support partners hands-on. 

  • Ability to work independently and within a team. 

  • Good communication and ability to support partners with patience and clarity. 

  • Flexibility, adaptability, and willingness to learn.

Languages:

  • Fluency in Ukrainian and working knowledge of English is an advantage.
