We are seeking to recruit a highly skilled and proactive Executive Language Support Officer to enhance our senior management team's efficiency and communication capacity.
Key Areas for Impact & Responsibilities
Language and Interpretation Support
- Provide clear and accurate interpretation during high-level meetings, ensuring that technical, professional, or legal terms are communicated effectively while preserving the original context and meaning.
- Translate internal and external publications and documents accurately and efficiently from English to Ukrainian (and vice versa).
- Utilise AI translation and interpretation technologies to enhance quality and efficiency, and identify innovative, cost-effective approaches to meet our office’s language needs.
Executive Support
- Support the Senior Management Team by coordinating schedules, managing agenda items, distributing relevant documents, and taking detailed meeting notes.
- Draft correspondence and prepare reports, briefing notes, and presentations, ensuring that all communication reflects HelpAge’s standards and mission.
- Plan, organise and coordinate executive-level activities, including meetings, workshops, field visits, and training—managing diaries, gathering input from team members, and arranging follow-up actions as necessary.
- Maintain accurate records, file management, and follow-ups to ensure smooth and efficient office operations.
Additional Responsibilities
- Participate actively in internal team and project meetings.
- Collect and manage information, data, and documentation related to HelpAge’s programme areas, ensuring confidentiality and accuracy.
- Assist with other tasks related to HelpAge’s written and audiovisual content as needed.
- Undertake any other duties assigned by your line manager.
Qualifications
Essential
- Fluency in Ukrainian and English.
- A minimum of one year’s experience in interpretation and translation or a degree in languages specialising in translation.
- Strong interpersonal skills, flexibility, and the ability to work independently as well as collaboratively under tight deadlines and in high-pressure situations.
- Proficiency in modern office software (e.g., Microsoft Office Suite) and familiarity with digital collaboration tools such as Zoom, SharePoint, or AI-assisted translation technologies.
Desirable
- A university degree in fields such as language, law, communication, journalism, public relations, international relations, or a related discipline.
- A good understanding of humanitarian, human rights, or care-related issues.
